The Challenge

Elevate Training, Health & Wellness is a well-established boutique fitness studio that had been operating successfully for 10 years. They faced recent challenges with staff turnover and an uncertain economy, which made them realize they needed to be more proactive with their sales approach. Their current processes relied on spreadsheets, ad hoc email marketing, and manual follow-ups.

Opportunities slipped through the cracks, there was no central database of leads or a place where communication was tracked and transparent. Client forms were printed and filed, and required manual effort to manage. There was no storytelling engine, other than social media, to help promote the brand, their trainers, and their client success stories.

The team needed a scalable system that could centralize data, improve lead follow-up, digitize analog data, create visibility into pipeline performance, and optimize driving inbound leads.

The Solution

We implemented HubSpot Sales Hub Professional and Marketing Hub Starter and designed a streamlined sales process tailored to their service-based model.

  • CRM Setup & Data Migration from MindBody, Constant Contact, and Contact Us website forms
  • Digitizing all client forms into fillable PDFs, and implementing e-signature through Panda Docs
  • Integrating MindBody (bi-directional communication) and Panda Docs with Hubspot
  • Lead capture tools (forms and CTAs) connected directly to the CRM
  • Automated follow-ups and task reminders to reduce manual admin time
  • Sales sequences to nurture inbound inquiries and pursue inactive client outreach
  • Customized contact properties for segmentation by type of service
  • Email marketing templates and lists to send relevant messages to specific customer segments
